Software & Systems
The Saturday reservation text answered, the receipts typed up, a person still in charge.
Customers get an answer in Spanish, Japanese, Korean or English, and anything outside the topics you signed off goes to your staff with the thread. Receipts land in QuickBooks for you to check and replies arrive as drafts to approve, in accounts you own, with an off switch.
What's included
AI agents & automation, in plain terms.
- Calls, texts and web chat answered in four languages, with hand-off to your staff
- Missed-call text-back: one reply if you cannot pick up, from a registered number, with consent
- The pile of receipts and invoices read into QuickBooks for you to check before they post
- Draft replies to Google reviews and to your inbox, sent only after you approve them
- Plain questions about your sales, inventory and POS data, with the numbers behind each answer
- Captions, menus, ads and product descriptions drafted in four languages for a person to edit
- Fixed price and fixed date after a free audit, with ongoing support
What it can do
Four jobs, named by what they take off your desk.
Not a chatbot bolted onto the website. Small, specific agents that do one job each, on your systems, with a person in the loop.
Front-desk agent
Answers calls, texts and web chat in four languages, on topics you signed off, such as hours, the menu and reservations. Texts back missed calls and hands off to a person by your rules or when asked.
- Take a Saturday reservation for eight by text in Spanish at 9 pm, and pass the cake question to staff
- Answer where-to-buy questions in a brand's web chat, and log wholesale inquiries for a person to call back
- Text back a salon's missed calls, send the booking link to callers who ask, and show the owner the replies
Back-office workflows
Reads receipts and invoices into QuickBooks for you to check, drafts Google review replies you approve, sorts the inbox and writes the Monday summary. Runs on a schedule or when something happens.
- Read photographed supplier invoices into QuickBooks for your review, marking what does not match the order
- Text the owner when an item is running low, with a suggested reorder quantity worked out from recent sales
- Draft a contractor's reply to each new Google review in the owner's voice, posted only once approved
Agents on your own data
Ask plain questions about your sales, inventory and POS data and get an answer with the numbers behind it. Forecasts and wholesale order entry too, on the systems we build for you.
- Answer "How did last Saturday compare to the one before?" from the POS, item by item
- Turn wholesale orders that arrive as emails, PDFs and photos into orders in your system a person confirms
- Forecast a dog groomer's bookings for next quarter from its own history, with the assumptions written out
Content and translation help
Drafts captions, menus and ads in four languages for a person to edit, and product descriptions in bulk for stores with many SKUs. A person signs off on every line.
- Draft the menu in Japanese, Korean and Spanish, each version checked by a person before it prints
- Write product descriptions for a whole catalog from a spreadsheet, each checked by a person before going live
- Draft a month of Instagram captions for a gym from its photos and notes, edited by the owner before posting
- Handed to staff · 6:42 pm
- StaffHola Luis, soy Ana del restaurante. Sí podemos tener el pastel. ¿De qué sabor y qué nombre le ponemos?
Example. Reservations are a topic this owner has let the agent answer on its own. The cake question still goes to a person.
How we keep it safe
Boring on purpose.
An agent that talks to your customers needs rules before it needs cleverness. These are ours, and they are written into the quote.
Runs in your accounts
The app, the database and the Claude or OpenAI account are all registered to you. If we stop working together, you keep all of it, and any engineer can read the code.
A person approves
By default a person approves anything that goes out to a customer. You loosen the rule one topic at a time, after you have read the transcripts.
Hands off to a person
Complaints, allergies, money, a caller who asks for a person, or anything outside the topics you signed off. The agent stops and passes the whole thread to your staff.
Transcripts you can read
Every conversation and action is logged where you can read it. Calls and web chat are recorded, and the customer is told so at the start.
An off switch
One switch pauses the agent and sends calls, texts and chat straight to your staff again. You do not need us to flip it.
Your data stays yours
Runs on Claude or OpenAI models under their API terms, in an account you own. Under those terms neither provider trains on your data, and neither do we.
How it is built
The same way as everything else we build: a small web app and a database in your own hosting account, calling Claude or OpenAI models under your own agreement. Any engineer can read it, change it or switch the model.
Disclosure and consent
The agent says it is automated when it introduces itself. Texting customers needs their consent and a registered sending number; we set both up, the same as on the CRM work. Expect one to two weeks before the first text goes out.

How it works
Four steps. About two hours of calls, plus one shoot day or one review round.

Free audit
A 20-minute call, then three written findings about your site, Google profile, menu or social within two business days. No pitch deck.
Your time: 20 minutes
- Week 1
Plan and fixed quote
We agree what to do first, what it costs and when it goes live. The quote is fixed. If your head office reads Japanese, Korean or Spanish, the plan comes in both languages.
Your time: 45-minute kickoff
- Weeks 2–4
Shoot or build
The shoot day happens at your place. The website or system is built in the open, with a staging link you can check any time. One review round.
Your time: Shoot day plus one review
- Launch
Go live, then keep going
A one-hour recorded training. Social clients get their first published calendar. Systems clients get a support plan and a named engineer to text.
Your time: 1 hour, then about 30 minutes a month
Questions
Before you call.
Will an AI talk to my customers?
Only where you say so, and it says it is automated when it introduces itself. It answers only the topics you signed off, such as hours or reservations, in English, Japanese, Korean or Spanish. Anything else goes to a person with the full thread. Until you sign off a topic, a person approves every message, and you sign off one topic at a time after reading the transcripts.
Which AI models do you use, and where does my data go?
Claude or OpenAI models, used by a small app in your own hosting account. Each message the agent handles is sent to that provider under your own API agreement with them. Under those API terms neither provider trains on your data, and neither do we. Every conversation and action is logged where you can read it, and one switch pauses the whole thing.
Do I own the site, the photos and the data?
Yes, all of it. The domain is registered to you, the code lives in a repository you control, the photos are yours to use anywhere forever, and customer records export any time. If you leave, you keep everything.
How much does it cost?
Every quote is fixed in writing after a free 20-minute audit, so you know the price before any work starts. Retainers run month to month. Ad spend is separate and paid by you directly to Meta, TikTok or Google; our fee is a flat number, not a cut of your budget.
Start with three findings, not a pitch.
Three written findings about your site, Google profile, menu or social, within two business days. Then you decide.
